Reservations: Are highly recommended. Holidays, Special Events, and rentals of more than one cabin may have a minimum stay requirement, or deposit. All reservations are first come-first served and require a one night stay deposit due upon making reservation. This is applied to the remainder of your balance due which is due upon check in. Reservations for major holidays require a one day non-refundable deposit that does apply to the remainder of your stay. Only valid Credit Cards will be used for making a reservation. As we are a small organization with only nine cabins, we turn many others away when a cabin is reserved. We try hard to accurately book our guests and do not double book; however, mistakes can occur on either party’s part. Age Rental Requirements: Bottlehouse Cabins will not rent to any persons under the age of 25 years of age without an advance security deposit that must be received prior to check-in date. All reservations must be made by a responsible party, 25 years of age or older, who must occupy the property during the reservation time. Bottlehouse Cabins reserves the right to ID and evict any/all guests that are not in compliance with this regulation. The responsible party will be responsible for all charges, including lockout fees, damages caused to cabin, buildings, hot tubs, etc. If prior arrangements have been made with an advanced security deposit, an inspection will occur upon check out and any damages caused to cabin, buildings, hot tubs, etc will be assessed and taken out of security deposit. Any remaining funds will be refunded up to 48 hours after check out. Should damages to cabin go beyond the security deposit; Bottlehouse Cabins will pursue legal means in order to recover costs of damages. This will included any and all court cost and monies necessary to restore cabin to its previous condition including loss of income. It is our desire to refund all monies and will do so if policies have been followed and no damage has occurred.
Group Rental Requirements: Group rentals are any party that include, but are not limited to, family and/or friend reunions, wedding parties, softball teams, etc. There will be one responsible party member per cabin that reserves and is responsible for that specific cabin only. All guests must maintain compliance to BHC policies as a whole. All parties are subject to security deposits that are negotiated upon reservation and vary depending on the number of guests and cabins reserved. Use of the Recreation Area is only with approval from management, must be made in advance, and will require a security deposit. The responsible party will be responsible for all charges, including lockout fees, damages caused to cabin, buildings, hot tubs, etc. If prior arrangements have been made with an advanced security deposit, an inspection will occur upon check out and any damages caused to cabin, buildings, hot tubs, etc will be assessed and taken out of security deposit. Maximum Occupancy: We strive to provide a relaxing, enjoyable, and safe stay here at BHC; therefore each cabin has a maximum occupancy that is noted on the website and/or is discussed during the reservation process. If you have more than maximum occupancy upon arrival, we will turn the party away and full charges will be applied. We reserve the right to cancel any reservation at any time before, during, or after check in due to over-occupancy.
Cancellation: BHC does not refund any deposits and/or payments made towards a reservation for any cancellations. Any amount paid towards a reservation that has been cancelled will be kept on file and applicable to a future stay for up to six months if it has been cancelled more than 14 days out from your stay. Cancellations made within 14 days of your stay are subject to 100% of the invoice pending re-rental. Major Holidays require reservations and there is no refund or credits saved on deposits. There is a 100% charge for no-shows. There is no refund for departing earlier than dates reserved whether it’s your idea or ours. If you are uncertain whether Bottlehouse Cabins is a good fit for you and your family, please consider visiting our grounds for a tour of the cabins prior to making reservations or checking in. Please note: we are not responsible for Mother Nature and we do not refund for inclement weather or lack thereof.
Group Cancellation: Should any members of your party renege on their portion of a cabin rental on a group rental, smaller cabins may be substituted upon availability. Rates will reflect availability and all deposits paid will be applied accordingly. Group rentals will not be extended to parties under age 25.
Payment: We require a valid credit card upon reservation of a cabin. Cashier checks/Money Orders for deposits are accepted; however, they must be received by Bottlehouse Cabins within 7 days of date reservation was made and must clear 14 days after making reservation. Accepted Methods of Payment: Cash, Travelers Checks, Cashiers Check, Money Orders, Visa, MasterCard & Discover. Remaining balance is due upon check-in.
Late Check-ins: Please note that we make every attempt to accommodate all of our guests’ arrivals. However, in order to preserve the quiet enjoyment of guests already settled into their cabins for the night, check in times is strictly adhered to and is between 3 p.m. and 7 p.m. In case of emergencies during travel, please call the office at (575) 336-1145, and check in may be extended at the approval of management. Please note: late check-ins ARE NOT GUARANTEED. Please note that remaining balance is charged at the close of the business day to the reserved CC on file unless otherwise arranged. If you arrive after hours without prior arrangements; the driveway may be closed. You will not be able to check in and other lodging will need to be found for the night. Please plan your travel time accordingly.
Wintertime Check In/Driveway Hours: During daylight savings time (1st Sunday in November through 2nd Sunday in March) the cut off time for check-in is sunset (which is roughly 5:30 p.m. in the mountains) or shortly thereafter due to the possibility of inclement weather. Please plan accordingly to be on the grounds prior to sunset. Should you not be able to get here before sunset, please make arrangements with the office. Please note that the driveway may be chained closed during winter hours if there is a possibility of inclement weather. Should the gate be locked, all traffic coming in will be required to park down below and walk up to your cabin. Accommodations for guest emergencies will be taken into consideration and instructions given to reserved guests upon request.
Smoking: As our weather is often dry and windy, we are often under a high burn risk; therefore, there is absolutely no smoking allowed on Bottlehouse Cabins grounds including inside of cabins and in your own enclosed vehicle if it is located on the grounds. If you or anyone in your party smokes, you may consider making alternate lodging accommodations. Violation of this policy will result in being asked to leave the property immediately and refunds will not be issued. Additionally, if evidence of smoking is noted upon check out inspection, a fee of $100 will be added to the reserved credit card to cover cleaning costs and we will no longer be able to extend our services. PLEASE NOTE: IF YOU SMOKE, we invite you to locate another establishment for your lodging needs as we will not be able to accommodate any smokers in your party.
Pets: Please know that we love all animals and they are welcomed at BHC with permission of the management and a prepayment one-time fee of $25 per animal over a year old. Please note that puppies less than one year require a $300 refundable deposit in lieu of damages. If no damages occur, then monies will be refunded accordingly up to 3 days after check out. Dogs and cats must never be left behind in the cabin while you are out unless they are in a locked kennel. If BHC staff happens upon a cabin wherein an animal is unkenneled, the owner will be called and asked to return to the cabin in order to kennel or remove the animal. Dogs are not allowed on any furniture including beds and couches! Damage caused by your dog or cat and/or additional cleaning fees will be billed to the reserved card holder in an amount determined by management and relevant to the damage/cleaning. Dogs and cats should be walked in designated areas only. At present, the designated areas are those areas that have not been developed yet, and you may use these areas, or follow the trail to the National Forest. Please be respectful of our other guests when allowing your pet to relieve themselves. Do not allow your animal to do its business in developed areas including driveways, recreation areas or closely around cabins. Excessive barking is not allowed. If your dog is a barker and left on the grounds unattended, we will call and request the owner return and tend to the dog!
Hot Tub: ONLY REGISTERED GUESTS MAY USE PRIVATE HOT TUB ASSOCIATED WITH CABIN. All nightly fees listed for cabins include use of a hot tub except for Travis and Shannon cabins, which do not have hot tubs. Our tubs are maintained by a Certified Pool Operator. All environmental codes are enforced according to Title 7, Chapter 18, Parts 2-5; referring to commercial pools and hot tubs. All policies are an extension of these codes thus breaking of any policy could in fact be breaking a code and/or law. Please shower before use and do not put oils, lotions or any fragrance in the tub, as it will clog the filter and make the water dirty and cloudy. Please close lid when not in use. Please use only the blue or black towels designated for the use at the hot tub, and not the monogrammed bath towels. Also, please try to use your towels more than one time. Please do not add water to the tub. Please note that the hot tub is not a swimming pool or a babysitter. We strongly recommend that children under the age of ten not enter the hot tub. If children are allowed in hot tub, they must be monitored by an adult at all times. We strongly encourage limiting use to 20 minutes. Additionally, using the hot tub as a swimming pool causes water to splash out of the tub onto electrical components as well as decreasing the water in the tub and increasing dirt and sediment in your hot tub. This causes costly damage to the tubs. Should this or any type of damage occur during your use of the hot tub, the tub will be closed, no refunds given, and any further costs incurred will be billed accordingly. Additionally, we reserve the right to add a $100 cleaning charge to the reserved cardholder for excessive cleaning or breaking of policy if necessary.
Vehicles: All guests will be given 2 parking places adjacent to their cabin. All vehicles registered to the campground will be given a parking permit that should be visible in your vehicle at all times while on the grounds. If a vehicle is noted to not have a tag, the owner will be asked to place the tag in the vehicle or remove the vehicle from the parking area. Any vehicle without a tag or an owner to move it will be towed at owner’s expense.
Car Liability: Please note that we are on the side of the mountain. In the winter months, it is advisable to have chains to safely navigate our hill. If inclement weather exists and you do not have chains, you will be asked to park down below and hike to your cabin. We will do our best to accommodate for safety of all guests; however, it is the ultimate responsibility of our guests. Bottlehouse Cabins is not liable for any damage done to cars while on the grounds.
Non-registered visitors: As parking by cabins is limited, we do not allow non-registered guests past the main office. Any visiting non-registered guest (i.e. anyone coming to visit you at your cabin that is NOT staying overnight) must check in with the office to enter campgrounds. Visiting guests are asked not to use the hot tubs or stay overnight. Any visiting guests not registered will be asked to leave the grounds. We want to protect the privacy and enjoyment of all our guests, so please register any expected visitors with the office.
Housekeeping: In order to eliminate a cleaning fee, we do not do daily cleanings. We, also, do not replace linens on a daily basis. As we are in a desert area (despite the fact that we are in the mountains) and water is always a concern, we ask that all guests hang towels to dry and reuse them. For stays longer than 5 days, we will exchange out clean towels for dirty and restock supplies. For stays longer than 14 days, we will change sheets in addition to towel exchange, restock supplies and clean at guest’s request. We do, however, reserve the right to add a $50 cleaning charge to the reserved cardholder for excessive cleaning if necessary.
Liability: This property is privately owned. The guest accepts cabin privileges with the understanding that he does hereby release the Bottlehouse Cabins, its officers and employees of all liability for loss or damage to property and injury to his person arising out of his use of facilities, and agrees to indemnify the Bottlehouse Cabins, its officers and employees, against claims resulting from loss or damage to property or injury to the person of any member of the family or guest of the registered guest arising out of the use of its guest facilities. Additionally, by signing policy agreement upon check in, the reserved cardholder assumes the responsibility for all damage to the cabin. Should any major damage occur during your use of the cabins, costs incurred will be billed accordingly.
Excessive Noise: There is no time excessive noise, rude behavior or loud music will be tolerated. Gestures, loud talking are all considered excessive. At any time the management considers a party has made excessive noise, or music is being played loudly at any time of the day, but especially after 10:00 p.m. consideration will be made at that time to either give the party another chance to quiet down, or will be asked to leave. Parties that are asked to leave due to their behavior will not receive any type of monetary refund, or credit of any sort.
Policies & Procedures: Failure to follow all policies and procedures at all times on our grounds, including recreation and campfire area and hot-tubs, as well as the cabins themselves may result in additional fees charged to the credit card on file and immediate and/or future expulsion from our grounds. Please take the time to read and understand all policies as they are legal and binding upon making reservation thus ignorance of the policies does not exempt the reserved party from being held to them.
